Setting Up a Shared Resource Space

This article will teach you how to create a Shared Resource space for your property that can be reserved.

Prior to setting up a Shared Resource, the space that Shared Resource will occupy needs to be defined (i.e. "Conference Room"). If you've previously set up your space(s), please skip to the next section of this article.

  1. From the Property & Facility menu, click Properties.
  2. From the Properties page, click the property that you desire to add a Shared Resource space to.
  3. From the [Property Name] page, click the Spaces tab, and then click the Add Space button.
  4. Once the Add New Space window has opened, complete the form presented:
Field Explanation
Building Select the building that you desire to add a Shared Resource to.
Floor Enter the floor that the Shared Resource is located on.
Suite Name Enter the name for the Shared Resource.
RSF Do not enter a value for RSF as Shared Resources are already included in the RSF of the tenant spaces.
Is Common Area Select this checkbox because the space we are adding is a common area.
Has Equipment Select this checkbox if your Shared Resource houses any equipment to be monitored by the Preventive Maintenance feature.
Is Primary Do not select this checkbox for Shared Resources.
Lease Select the Tenant lease for this space; if the space is vacant you may select VACANT.
  1. From the [Property Name] page, click the Spaces tab, and then click the title of the new space.
  2. Once the Update Space window has opened, navigate to the Primary Information section, click the drop-down list for the Type field, and select Shared.
  3. Click the Save button.
  4. The Space has now been added to your property.

Now you can set up the new space as a Shared Resource space:

  1. From the Property & Facility menu, click Settings.
  2. From the Property Management Settings page, navigate to the Resource Reservations section, and click Resource Editor.
  3. From the Resource Editor page, click the New Resource button.
  4. Once the Create New Shared Resource window has opened, complete the form presented:
Field Explanation
Title Enter the title of the Shared Resource (i.e. "South Conference Room").
Property Select the property where the Shared Resource is located.
Building Select the building where the Shared Resource is located.
Floor Select the floor where the Shared Resource is located.
Space Select the name of the Shared Resource (as entered in the above section).
Type Select the type of Shared Resource.
Description

Enter a brief description of the Shared Resource.

Note: This description will be visible to tenant users when they are reserving the Shared Resource therefore you can include helpful information such as room layouts, maximum capacity, available technology, and reservation fees.

  1. Click the Save Resource button.
  2. The space has now been set up as a Shared Resource for your property.
