OVERVIEW

WorkSpace has the capacity to add subtenants/subleases to both sync and standalone Property & Facilities properties. These are companies who are leasing space from the main tenant.

This task is completed by a member of the support team or the project manager.

Requirements:

• P&F launch template - Attached to Zendesk ticket

HOW TO

Create Sublease

1. Check that you are logged into WorkSpace using either the base admin account (i.e. admin@lpc.com) or as a property staff user with access to the Properties, Leases, and Tenants modules
2. Open the P&F launch template to the Tenants page, any subleases will be listed on the right hand side of the page
   
   Navigate to Properties & Facilities > Tenants
3. Check that the subtenant does not already exist as a primary tenant on this page
4. Click New Tenant button
5. Enter information (Subtenant Name, Property, Lease ID (if not listed write "unspecified"), Expiration Date) from the Property Import Template. Leave Available Spaces blank
   
6. Click Save
   
7. Click name of subtenant in the Tenants module
8. Click the Leases tab
   
9. Click the Lease ID number
   
10. Enter the Start Date from the Property Import Template
    
11. Click Save
    
12. Return to Properties & Facilities > Tenants
13. Click the Tenant Name
14. Navigate to the Users tab
    
15. Click Add User button
    
16. Fill in tenant user information and permissions as outlined on the Property Import Template under the Tenant Users tab
    
17. Repeat steps 16 - 17 for all subtenant users
18. Repeat for all subtenants

Adding Subtenant to Space

1. Navigate to Properties & Facilities > Properties > Property Name > Spaces tab
   
2. Open up the Floor listed on the Property Import Template
3. Click the Suite Number listed on the Property Import Template
   
4. Navigate to the Lease Information tab
   
5. Select the sublease belonging to the subtenant from the dropdown
   
6. Click Save

FAQ

Do Subtenants import as part of the property import template?

• They do not, they must be entered manually

Are Subtenants completely supported inside of WorkSpace?

• They are not. Engineering has yet to determine all the dependencies and issues with Subtenants. One known issue: subtenant users do not appear in the Broadcasts application
