OVERVIEW
When WorkSpace adds a new P&F client they require a new base account where we will store all their users and properties.
This task is completed by a member of the implementations team and engineering.
Requirements:
- Client's URL (almost always the part after the @ on their email address)
HOW TO
Submit Jira Ticket
- Open Jira and click the "Create" button
- Title the ticket "Provision New Base Account: 'COMPANY NAME' with admin@companyurl having P&F app"
- In the description field add the following information:
- Create new base account for: COMPANY NAME
- Create new admin account: admin@companyurl
- User will have P&F app access and be able to assign the P&F app to other users
- Admin user needs ability to create/activate properties
- Any other privileges needed by the account
- If possible attach a logo file for the company. Logo should have the following formatting:
- Transparent GIF format
- Should have approximately 4:1 length:width pixel ratio. Examples 400x100 or 200x50. No need to make the logo file any bigger.
- If the company has a square logo you can center it in a rectangular image like:
- Everything but the company logo should be transparent (logo manipulation can be done in a free graphics editor like GIMP)
- Include a due date, if you have one
After Ticket Release/Configure Account
- Once you receive a notification that the ticket was released log into the new admin@companyname.com base account
- Follow this link to go to the WS App Marketplace
- Click the Accounting App
- Click the "Install" button
- Click on the newly added Accounting > Settings on the left hand menu
- Click on the Accounting System Editor
- Click the Add Accounting System button
- Title the new accounting system "No Accounting" and click Save
- Return to Accounting > Settings
- Click Company Editor
- Click the Add New Company button
- In the Add New Company modal title the Company: No Accounting, select Division: Corporate, and Accounting System: No Accounting
- Click Save
- Click the gear icon > Users to open the GUP
- Click on the User Name of the admin account (admin@companyurl.com)
- Click Actions > Add Division
- Select Division (usually Corporate)
- Click Save
- Click Apps Tab and the Property Management app
- Assign all Features & Permissions necessary for the Property Admin
- Check that the Corporate Administrator permission is assigned
- Click Save
Test the Account
- Click Properties & Facilities > Properties
- Click the New Property button (if it is missing contact Engineering on the Jira ticket)
- Confirm that Division: Corporate is populating in the modal (if not reach out to Engineering)
- Once you add a new property confirm that the Activate, Setup, and Disable buttons are on the top right of the property screen (if not reach out to Engineering)
FAQ
When I add a new property to the base account there are no accounting companies in the Accounting Company dropdown, or the dropdown is missing
- You must complete the steps above to complete the configuration. You must add an accounting company even if the client will not be using the AP system
