Overview: Broadcasts

This article will teach you how to use the Broadcasts feature of the Property & Facility App.

Sending a New Broadcast

This feature will allow you to send a new broadcast to tenant users.

  1. From the Property & Facility menu, click Broadcasts.
  2. From the Broadcasts page, click the New Broadcast button.
  3. From the Broadcasts: Send New page, complete the form presented:
Field Explanation
Property Select the property or properties that will be sending the broadcast.
Template Select a template, if applicable (See the article Creating a Broadcast Template for more information).
Subject Enter the subject line of the broadcast.
Delivery Method Select to deliver the broadcast by email, mobile text, or both.
Email Message

Enter the content of the broadcast within the textbox.

Note: This field will appear only if Email Message or Both Email & Text Message is selected for Delivery Method.

Email CC

Enter the email addresses of any non-tenant or subtenant users that you desire to receive a copy of the email.

Note: Separate multiple email addresses with a semicolon or comma (i.e. user1@email.com;user2@email.com). If this is not entered in the proper format, the contents will be highlighted in red, indicating to correct the input.

Email Attachment

If applicable, attach a file to the broadcast.
Click the Browse button, navigate to the desired file on your computer, and then click the Open button.

Notes:

  • The maximum file size for an attachment is 4 MB.
  • If multiple properties are selected, the attachment will be sent to the notification for each property.
Text Message

Enter the content of the broadcast within the textbox.

Note: This field will appear only if Text Message or Both Email & Text Message is selected for Delivery Method. There is a 1600 character limit.

Recipients Select the building(s) the broadcast is intended for.
  1. To select which tenant users will receive the broadcast, first highlight the tenant's company name listed under the Tenants field and then highlight the name of the tenant user listed under the Contacts field.
  2. To select multiple tenant users, press and hold the CTRL key while you highlight each tenant user listed under the Contacts field or click All Contacts.
  3. After you have finished highlighting the desired tenant users click the Add Selected as Recipients button.
  4. You will now see the tenant users who will receive the broadcast under the Selected Recipients section.
    • Note: To remove a specific tenant user from a broadcast, select the checkbox next to the tenant user under the Selected Recipients section and then click the Remove button.
    • Note: To remove all recipients, click the Remove All button.
  5. To select which staff users will receive the broadcast, highlight the name of the staff user listed under the Staff Members field.
  6. To select multiple staff users, press and hold the CTRL key while you highlight each staff user listed under the Staff Members field or click All Staff Members.
  7. After you have finished highlighting the desired staff users click the Add Selected Staff Members as Recipients button.
  8. You will now see the staff users who will receive the broadcast under the Selected Recipients section.
  9. Click the Send Broadcast button.
  10. The broadcast has been sent and will now appear on the Broadcasts page.

Inserting an Image into a Broadcast

This feature will allow you to insert an image within the body of a broadcast email message. WorkSpace does not provide image hosting, so you will need to upload your image to an external hosting site (i.e., Dropbox) in order to utilize it.

  1. From the Property & Facility menu, click Broadcasts.
  2. From the Broadcasts page, click the New Broadcast button.
  3. From the Broadcasts: Send New page, navigate to the Email Message section and click the Insert/edit image button in the toolbar.
    • Note: Make sure the Delivery Method field is set to either Email or Both Email & Text Message. If delivering via both methods, you can send images only via email, not text.
  4. Once the Insert/edit image window opens, copy and paste the direct URL to the image from the external hosting site into the Source field (i.e., www.dropbox.com/image/image.png).
    • Note: The Dimensions should auto-populate after you enter the Source.
  5. Click the Ok button.
  6. The image is now inserted into the Email Message of the broadcast.

Viewing a Delivered Broadcast

This feature will allow you to view a delivered broadcast email to tenant users.

  1. From the Property & Facility menu, click Broadcasts.
  2. From the Broadcasts page, click the Subject of the broadcast that you desire to view.
    • Note: Delivered broadcasts can be sorted by Date, Subject, Author, or Property by clicking the appropriate category.
  3. From the Broadcasts [Subject] page, view the information provided in the Details and Recipients tabs for reference.
  4. The delivered broadcast has been viewed.

Creating a Broadcast Template

This feature will allow you to create a template to use for frequent or common types of broadcast messages.

Note: Users must have the features and permissions Settings and Broadcasts Admin selected in their user profiles. See Managing Staff User Features & Permissions for more details.

  1. From the Property & Facility menu, click Settings.
  2. Under the Broadcasts section, click Broadcast Templates.
  3. From the Broadcast Templates page, click the New Template button.
  4. From the Broadcast Templates: Add page, complete the form presented:
Field Explanation
Property Select the property that will be sending the broadcast.
Subject Enter the subject line of the broadcast template.
Body Enter the content of the broadcast that will be displayed via email.
Text Message Body Enter the content of the broadcast that will be displayed via mobile phone text message (if applicable).
  1. Click Save Template.
  2. The broadcast template will be displayed on the Broadcast Templates page, and it will now be available as an option when sending a new broadcast.
